Easy to use interface

PhonePad has a very easy to use interface.  Using the Outlook style sidebar, you can quickly access PhonePad's many features.  Or you can use the traditional style toolbar, the menu bar or right click your mouse for popup menus.

Inbox

All of your messages are conveniently located in a central, easy-to-access location. Messages you receive are stored in the Inbox. Icons and colour-coding provide instant recognition of message status.

Sent Folder

PhonePad keeps a copy of all messages you have sent.  Icons and colour-coding tell you if a message has been read by the person you sent it to.  Messages can be resent with the click of a button.

Familiar Phone Message Look

Messages have been designed to mimic the paper-based message pads, providing a more intuitive interface and making it easier for users to migrate from paper-based message pads.

Text Messages

PhonePad isn't limited to just phone messages.  You can also send free form text messages.

Rich Text Messages

Messages support text formatting (different fonts, styles, colours and sizes), allowing you to emphasize important information.

Spell Checking Spell check your messages before sending them.  Multiple language dictionaries are supported.

Multiple Message Interface

Multiple messages can be opened simultaneously, allowing you to easily write and/or read a number of messages simultaneously.

Forward and Reply

Forward phone or text messages to other users, or reply to messages you receive.

Message Receipts Message receipts let you know when your messages have been read.

Caller AutoComplete

PhonePad can remember the details of previous callers for you, avoiding the need to re-enter the information when they call again.  As you enter a caller's name, PhonePad checks to see if they exist in the Address Book and will fill in the rest of the details for you.  It can also automatically update a caller's details when they change.

Caller Time Lookup

Instantly look up the time in the caller's location, wherever they are located in the world.

Multiple Recipients

Send messages to as many people as you like.

Distribution Groups

Easily send messages to groups of people by creating Distribution Groups.

Status Bar

As well a providing helpful hints, the status bar indicates the number of messages you have in your Inbox, and how many have and haven't been read.

Login Options

You can login to PhonePad using a variety of login options: Username and Password, Network Login ID, or get PhonePad to login for you automatically.

Address Book A full featured address book can hold all details of your callers including Business and Home addresses, phone numbers, email addresses, etc.

Receptionists Mode

A special mode allows receptionists to check messages for other users by providing access to their Inboxes. Administrators can specify which Inboxes receptionists can access.

Sortable Message Lists

Sort message lists with one click.

In-Out Board

Easily check the availability of other staff using the built-in In-Out Board.

Import Address Book Entries

Import your Address Book entries from Microsoft Outlook, or a comma-delimited text file.

Export Address Book Entries

Export your PhonePad Address Book entries to text files for importing into other applications.

Message Notification

Choose from 6 different notification methods to alert you when new messages are received, including playing WAV files (8 sounds are provided but you can easily add your own).

Undelete Messages Messages that have been accidentally deleted can easily be retrieved.

Message Archiving

Messages can be archived by the system administrator at any time.  They can also be unarchived when necessary.

Message Exporting

Messages can be exported to text files for storage and archival purposes.

Message Printing

If you need a hard copy of a message for filing purposes, PhonePad can print a copy of a message at the click of a button.

Automatic Message Forwarding

If you're out of the office you can have PhonePad automatically your messages to an email address or even your mobile/cell phone.  This is also useful when you are taking messages for someone who is not a PhonePad user. Supports multiple email addresses and mobile/cell phone numbers.

User Preferences

With a whole host of user preferences, you can customize many of PhonePad's features to your heart's content.

Startup Options

Run PhonePad as a standard Windows application or as a system tray application.  Run PhonePad manually or have it start automatically whenever Windows starts.

Administration Utility

PhonePad Admin allows an administrator to completely manage the PhonePad system.  Administrators can purge messages from the system, archive messages, undelete messages, check user login status, enable/disable logins, repair the message database, set the login modes, add/edit/delete user logins, and set up other users as administrators or receptionists.  Plus more.

Broadcast Messages Administrators can broadcast announcements to all PhonePad users.
Remotely Manager Server ServerManager makes it easy for administrators to remotely manage the PhonePad Server (if installed).

Personal and Public Folders

Create your own personal folders to store your messages in. Folders can be made public so that others users can access them.

Message Follow Up

With the message Follow Up feature, you can easily identify which messages need to be followed up.  Follow up notes can be added for later reference.

Inbox Message Filtering Display only the messages you want to see by using the handy message filtering option, eg. all unread messages, all messages that haven't been followed up, etc.

Searching

The Search option makes it easy to find messages you have received.

Phone Number Dialing

PhonePad can return calls for you by dialing phone numbers in messages.  Just one click.  (Requires a modem).

Remote Connectivity

Not only can you send and receive messages across your peer-to-peer or local area network, you can also do it across wide area networks and even the Internet!  This is ideal for remote offices and those on the road or working from home.

Data Backup and Restore The PhonePad backup utility makes it easy to backup and restore your PhonePad data.  Use AutoBackup to automatically backup your valuable data every night.

What Do I Need to Run PhonePad?

PhonePad will run on virtually any Windows-based network. If your computers are connected in any way then PhonePad should run fine. Here are the requirements:

  • Microsoft Windows NT4, XP or Vista
  • Local Area Network (LAN) or Peer-to-Peer Network
  • 55MB Hard Disk Space
  • 512MB RAM
